How to Organize a Congress in Malaga, Spain
Searching for how to organize a congress in Malaga, Spain, usually means someone who has been asked to bring a group of delegates here and has to decide in which order things happen. A congress has a venue, a hotel for delegates, a program of sessions and a technical side, and each one depends on the one before. This page puts them in order and says who in the city can help with each, including the part that is ours.
Malaga Event Gear (MEG) supplies audiovisual equipment and a technician for congresses across Malaga and the wider Costa del Sol. We are not a venue, a destination management company or an organizer, so this guide is about the sequence and not about running the event for you. The audiovisual brief is the part we know, and it sits within our event technology service.
Brief Overview
To organize a congress in Malaga, fix the dates, the number of delegates and the program first, then choose the venue, then the hotels, and only then write the audiovisual brief for your supplier. Malaga Event Gear supplies the sound, the display or the projector, the microphones and the technician, from the MICE Pack for up to 120 guests. The venue, the hotels, interpretation and the rest of the event go through the venue, the Malaga Convention Bureau, an agency and our partners.
Key Highlights
Decide in this order: dates, delegates and program, venue, accommodation, audiovisual brief.
The Malaga Convention Bureau lists technical advice for organizing congresses, venue and hotel availability and local logistics among the requests it answers.
We supply the audiovisual side: sound, a display or a projector, microphones and a technician. We are not a venue, a DMC or an organizer.
Interpretation equipment is not in our own inventory. We coordinate it with a subcontracted partner.
Our bookings need at least 24 hours of notice, and a congress needs the brief as early as your dates are set.
Who delivers it? Our crew delivers, installs and tests the equipment. We work delivery only, with no self pickup.
Who handles hotels? Our partner Top Group Express, for group bookings.
What is not covered? The venue, catering, registration, accommodation and equipment outside our own inventory.
Start With Dates, Delegates and Program
Everything else depends on three facts, so write them down first.
- Dates. Venues and hotels are booked against dates, so a congress with flexible dates has more choice than one with fixed ones.
- Delegates. The number of delegates decides the room. A report prepared for the Malaga Convention Bureau puts the average congress in Malaga in 2024 at more than 300 delegates, which is a useful reference when you size yours.
- Program. One plenary room is a different brief from a plenary plus several parallel sessions, because every room needs its own sound, microphones and display.
Choose the Venue
The usual choices are a congress center, a hotel with meeting rooms or a mix of both. In Malaga, FYCMA, the city's trade fair and congress center, lists an auditorium for up to 900 people and another for 600. The Torremolinos and Marbella congress palaces and the hotels of the Costa del Sol are the other names organizers use. Our post on MICE events in Malaga lists the main venues with their own capacity figures.
Whichever you choose, confirm the capacity for your layout, because a room holds fewer people with tables than in rows. Ask what equipment is included, as covered below.
Book Accommodation for Delegates
A report prepared for the Convention Bureau found that 69.7% of the people attending meetings in Malaga in 2024 came from outside the province, so most of your delegates will need rooms. Book them once the dates and the venue are fixed, because the distance from the hotel to the venue is part of the choice.
For group bookings, our partner Top Group Express has years of experience reserving hotels for groups, working with the agencies, DMCs and companies that organize a delegation's travel. We handle the sound and the screens, they handle the rooms.
Write the Audiovisual Brief
The brief is the last step, but it is the one that decides whether the sessions work. Give your supplier these items:
- The rooms. Which rooms, how many people in each and the layout.
- The sessions. How many run at the same time and when each one starts and ends.
- The speakers. How many speak, whether they stay at a lectern or walk, and whether the audience asks questions from the floor.
- The languages. Whether any session needs interpretation.
- The venue. Its address, the loading access and who we contact there.
With that, we match your event to our own inventory. The MICE Pack at 490 euros ex VAT, for up to 120 guests, includes professional active speakers, a 60 inch LED display, one gooseneck plus one wireless handheld microphone and a technician on site for up to 6 hours. A lectern is an extra at 50 euros and modular stage platforms are 35 euros per square meter. The Basic MICE Pack at 295 euros ex VAT is for up to 40 guests. For a larger room or several rooms at once, tell us the program and we check what we can supply from our own inventory and what we would source.
The technician operates the sound and the microphones. The speaker runs their own slides.
What to Check With the Venue
A room with some equipment of its own is common, so ask before you hire anything. Ask which sound, screens and microphones are included, who operates them and what has to come from outside. Ask about loading access, the time you can enter the room and any rules of the house, so the delivery fits the building. For a multilingual congress, ask whether the room has interpretation booths, since some venues do.
